Candidate Privacy Notice

Controller

Aimeice Tech, registered in Ukraine (Diia City), is the data controller for applicant data. Questions: contact@aimeice.tech.

What we collect

• Name, email, phone number, LinkedIn URL, CV file, cover letter.
• Metadata - referrer source, timestamps, IP (abuse protection only).
• Notes from interviews, take-home reviews, and evaluation calls.

Why

• To evaluate your suitability for a role and communicate with you - Art. 6(1)(b) GDPR (pre-contract).
• To retain your details for future openings (with your consent) - Art. 6(1)(a).
• To comply with Ukrainian labour & tax law if you are hired.

Retention

• Unsuccessful applications: 6 months, then deleted.
• Successful applications: merged into HR records per Ukrainian law.
• Talent pool (consent-based): up to 2 years, re-consent requested annually.

Who sees it

Only our hiring team and the specific interviewers for the role. We never share your CV with third parties without your explicit written consent.

Your rights

You can request access, correction, deletion, portability, or restriction at any time by emailing contact@aimeice.tech. You may also complain to the Ukrainian Ombudsman or your local EU supervisory authority.

International transfers

Applicant data may be processed in Ukraine and via EU-based service providers (Hetzner, Cloudflare). For EEA applicants, transfers outside the EEA rely on Standard Contractual Clauses.
